About this tool
A receipt records that money has already changed hands, which is what separates it from an invoice: an invoice asks, a receipt confirms. Issuing one promptly closes the loop and saves the follow-up email asking whether payment arrived.
Include the payment method and date. When a client's bookkeeper reconciles the account months later, 'paid by bank transfer on 14 March' answers the question that a bare total does not.
A receipt is not proof of a completed transaction on its own — a bank record is — but it is the document both sides file, and having it consistent and numbered makes year-end far less painful.
Common uses
- Confirming a payment you have received.
- Giving a customer proof of purchase.
- Keeping a numbered record for bookkeeping.
Frequently asked questions
- What is the difference between an invoice and a receipt?
- An invoice requests payment; a receipt confirms it was made. The same transaction often produces both, in that order.
- Do I have to issue receipts?
- Rules vary by country and business type, and many customers expect one regardless. Check your local requirements for retail and cash sales in particular.
