About this tool

A quote is a priced offer, and the two things that protect you are scope and expiry. Itemise what is included specifically enough that its absence is obvious — 'three revisions', not 'revisions' — because ambiguity is resolved in the client's favour once work has started.

The validity date matters for the same reason. Without one, a quote written when materials cost less can be accepted a year later, and you are arguing about a price you no longer offer. Thirty days is a common default.

A quote is generally a firm offer once accepted, where an estimate is an approximation. If your figure could move, say estimate and say why.

Common uses

  • Quoting a client for a project.
  • Sending a priced estimate with an expiry.
  • Setting out scope before work starts.

Frequently asked questions

What is the difference between a quote and an estimate?
A quote is a fixed price you are offering to honour; an estimate is an approximation that may change. Use the right word — it affects what a client can hold you to.
How long should a quote stay valid?
Thirty days is common. Set the date explicitly so an old quote cannot be accepted at a price you can no longer meet.
